Pet Portraits Terms & Conditions
Both Nicholas and myself, Melanie, retain the copyright on all original artwork we create. We reserve the right to display completed paintings and drawings on our websites and use them for our own promotional purposes.
We fully understand how personal commissioned artwork is. We never reproduce client artwork as prints, never sell merchandise and never license our work to third parties. If any client would prefer their artwork or testimonial not to be displayed, please let us know and we will of course respect that request.
Bespoke Commissions & Deposits
All pet portraits are commissioned individually and created specifically for each client and their pet. As such, they are considered bespoke, personalised artwork.
To secure a place in our commissions list, a deposit is required. Once a commission is booked, this deposit is non-refundable, as it reserves studio time and covers preparatory work which cannot be recovered or resold.
This is in accordance with UK consumer law relating to bespoke goods made to a client’s specification.
If, in the unlikely event, we are unable to proceed with a commissioned portrait, the deposit will be fully refunded.
Final Payment
The final balance is invoiced when we are ready to start. This is when your canvas will be purchased and any required materials sourced for your commission. We cannot start any oil paintings or pencil drawings without payment. Oil portrait clients can see stages of the portrait in the client portal, so you can watch your portrait come to life and progress from the first to last stage. You can comment at any time. We photograph the finished artwork and email it to you for approval.
Portrait Completion & Approval
When the portrait is complete, we will email a photograph of the artwork for approval. At this stage, clients may request reasonable adjustments.
We work closely with every client to ensure they are completely happy with their portrait. In the rare event that an issue cannot be resolved, the final payment may be refunded, minus any card processing fees. This situation has never arisen, and we are proud to have a 100% satisfaction record.
Damage in Transit
All portraits are packed to a very high professional standard. In the unlikely event that artwork is damaged during transit, please photograph both the packaging and the artwork and contact us immediately.
The artwork will need to be returned to us in its original packaging at the client’s cost. Once received, we will create a replacement portrait at no additional charge. Lead times will depend on our current commissions schedule.
Gift Vouchers
Gift vouchers are non-refundable and are valid for two years from the date of purchase.
Currency & Overseas Payments
All prices are quoted in UK sterling. Clients ordering from overseas should note that their bank will apply its own exchange rate.
All payments and any refunds are processed in UK sterling. We are unable to control or compensate for currency exchange fluctuations.
Privacy Policy
We take your privacy seriously and are committed to handling your personal information responsibly and in accordance with UK GDPR and the Data Protection Act 2018.
What Information Do We Collect?
When you commission a portrait, we collect the personal information needed to fulfil your order. This typically includes your name, email address, postal address, and phone number. We also receive the photographs you send us of your pet, which we use solely for the purpose of creating your portrait.
Why We Hold Your Information
We hold and use your personal information only to fulfil your commission — to communicate with you throughout the process, arrange payment, and safely ship your completed artwork. This is our lawful basis for processing your data under UK GDPR (performance of a contract).
How Long We Keep Your Data
We retain client contact and order details for up to seven years as required for accounting and tax purposes. Pet photographs sent to us for reference are deleted once your commission is complete and delivered, unless you have asked us to retain them for future commissions.
Who We Share It With
We never sell, rent, or share your personal information with third parties for marketing purposes. Your data is only used internally to fulfil your commission.
Your Rights
Under UK GDPR you have the right to ask us what personal data we hold about you, to request that we correct any inaccuracies, or to ask us to delete your data where we are no longer legally required to hold it. To make any such request, please get in touch via our contact page.
Payment Security
Payments are made securely either by bank transfer or online card payment. We do not store card details. Bank details provided for transfers should be deleted by the client once payment is complete.
Cookies & Analytics
Our website uses cookies to help us understand how visitors use the site. We use Google Analytics and Microsoft Clarity to collect anonymous traffic and usage data — this helps us improve the website experience. We also use StatCounter for visitor statistics. None of these services identify you personally.
